Oceanographic Expeditions L.L.C. works hard to provide its teammembers with professionally run, hassle-free expeditions at a fair cost. However, expeditions are, by nature, strongly influenced by transportation, weather, personnel, animal life, accommodations, and many ofther factors. They are very much like safaris and require you to accept some risks as part of the expedition adventure. Because of this, some ground rules are necessary for everyone's benefit. Be assured that we will work with you whenever possible to reconcile any problems as quickly and fairly as we can.

Applications: Applications will be accepted on a first-come, first-considered basis. Oceanographic Expeditions reserves the right to deny participation to any applicant it deems unqualified. Should application be denied, deposit will be returned in full.

Reservations: All rates are quoted in U.S. dollars payable to Oceanographic Expeditions L.L.C. (hereafter referred to as OE). Rates are per person and based on double occupancy. After your application is accepted, a confirmation will be sent to you showing the deposit you have paid and invoicing balance due. Payments made to OE, or a sponsoring organization, must be paid by cash, check or money order.

Deposit: $500.00 per person is required at time of booking. Payment of a deposit constitutes acceptances of these Terms and Conditions.

Final Payment: Due no later than 60 days prior to departure or we must consider your reservation canceled and deposit forfeited. All bookings made within 14 days of departure are subject to a $25 administrative fee.

Cancellations: All cancellations must be made in writing. Cancellations are rare, but we understand things happen. We will try to fill your spot and minimize any financial loss to you. However, all cancellations are subject to a $100 administrative charge. Cancellations within 60 days of departure forfeit deposit; cancellations within 14 days of departure forfeit 100 percent of total (unless your spot can be filled.)

Insurance: Because of stringent airline cancellation restrictions, potential weather problems and the risk of lost or damaged luggage, we strongly recommend the purchase of trip health, baggage and cancellation insurance. The insurance premium is non-refundable. We will not cancel an expedition unless absolutely necessary. But, travel insurance on any trip to the Caribbean during hurricane season can provide you with extra peace of mind. We cannot be responsible for weather-related cancellations by us, airlines, groups, or any participating entity. We will send you travel insurance information. The team's safety is the first consideration.

Canceled Trips: We must reserve the right to cancel any trip prior to scheduled departure due to serious logistical problems (vessel breakdown, strikes, etc.) You may transfer to another expedition, or we will refund all payments in full. In no event, however, shall our liability exceed the obligation to refund the amount you paid to us. This does not apply to weather-related cancellations.

Refunds: refunds can not be given for unused hotel rooms, meals, sightseeing trips or expedition arrangements for any reason whatsoever. Expedition costs are quoted as a package and credits are not given for services not used.

Single travelers: If you are a single traveler wishing to share accommodations, we will try to match you with an appropriate roommate.

Request for Single Accommodations: If you request a single, private room, you must pay a Single Supplement Fee. If we cannot provide a roommate, we may require an extra fee since the hotels must charge us a single supplement fee.

Trip Cost Includes: Accommodations, most group flights and airport transfers as specified in the trip itinerary, sightseeing arrangements, entrance fees, leadership, crew, local guides, permits and meals, as indicated in the itinerary. The right is reserved to make any changes in the itinerary or to substitute hotels, modes of transport, vessels or guides for those mentioned in our literature.

Trip Cost Does Not Include: The cost of individual air flights, airport taxes, passports, visas, immunizations, insurance of any kind, alcoholic beverages, soft drinks, laundry, excess baggage, tips, items of a personal nature, medical costs, costs of hospitalization, additional expenses arising from the delay or extension of a trip due to weather, political disputes, illness, failure of transportation, or other causes beyond our control.

Diving: Divers must provide a copy of a current, nationally recognized diving certification as well as a copy of the last page of their dive log. On site, they must be able to show a minimum of 25 logged dives and 3 night dives, if asked. Rental gear is available at all expedition locations.

Proof of Citizenship: A valid passport is required on international expeditions. It is the passengers' responsibility to determine and fulfill passport and visa requirements applicable to them. There can be no refund if a passenger is denied boarding or disembarkation in any port by U.S. or foreign immigration officials for lack of proper identification.

Special Diets: Every effort will be made to accommodate special dietary requirements provided notification is specified on the application.

Air Travel: Unless otherwise indicated, air travel and arrangements to and from the team rendezvous point are not included in the expedition.

Airline Clause: The airlines and/or travel agencies concerned are not to be held responsible for any act, omission, or event during the time passengers are not aboard the aircraft. The passenger tickets in use by the airlines when issued shall constitute the sole contract between the airline and the purchaser of these tickets or the passenger. Money paid to Oceanographic Expeditions for air tickets is money paid in trust to the airlines, and Oceanographic Expeditions can assume no responsibility for fluctuations in price or scheduling. And in the event of a default, clients must look to the airline for refunds. We will help you secure refunds as much as we can.

Withdrawal: Oceanographic Expeditions L.L.C. reserves the right to require any participant to withdraw from an expedition at any time if the expedition leader deems his or her acts or conduct to be detrimental to or incompatible with the interest, harmony, comfort or welfare of the expedition. In such cases, no refund will be given.

Responsibility: The responsibility of Oceanographic Expeditions is limited. It acts only as an agent for the teammember in regards to travel whether by railroad, motorcoach, private car, boat, aircraft or any other conveyance, and assumes no liability for injury, damage, loss, accident, delay or irregularity which may be occasioned either by reason of defect, through acts of God, negligence, dangers incident to the sea, fire, breakdown in machinery, acts of government or other authorities, de jure or de facto, or wars, whether declared or not, hostilities, civil disturbances, strikes, riots, pilferage, epidemics, medical or customs regulations or from any causes beyond Oceanographic Expeditions L.L.C.'s control. You assume all risks in conjunction with this expedition in order to participate.

We hope these Terms and Conditions are never necessary. It is healthy in this day and age to understand how we will deal with problems. As our reputation shows, we pledge to be fair, honest and straightforward, to confront any problems that may arise and leave you as happy an expedition teammember as possible.
